The fine print…

Bookings

Booking with AP Mountaineering

When booking any of our events we require a couple of things prior to your attendance on the course. Payment in full & a medical and consent form to be completed.

Payment in full

·         Payments should via the inbuilt website payment processor Or if this is a bespoke event, made within 10 days of receiving your reservation email.

·         Once payment is received, we will confirm your place on the course via email.

·         Please note: If the course starts within 10 days of your booking the course, then it should be made as soon as possible after your reservation is confirmed & prior to the course

Medical & consent forms

·         Every attendee must complete a medical and consent form. You will receive a link to this in your reservation email. This is for insurance purposes so if we don’t receive it from you, you will not be able to join us on the event. No refund or rebooking will be offered if you turn up on the day and have not completed the medical and consent form.

Cancellations

Cancellation by Client

·         All cancellations must be made by email.

Refunds will be issued as follows:

·         Cancellation 8 weeks or more before the event start date – 85% refund

·         Cancellation between 2 weeks and 8 weeks to the event start date – 50% refund

·         Cancellation 2 weeks or less before the start date - 0% refund*

Cancellation by AP Mountaineering

As much as we endeavour to run every event we advertised, occasionally due to the British weather, staff sickness or lack of attendees, we may need to cancel an event.

In this situation we will offer options of:

·         Swapping to another event of the same value & level (or less)**

·         Or, a refund in full.

*In the case you need to cancel or are unable to attend with less than 2 weeks’ notice due to last minute sickness for example, we reserve the right to take the circumstance into consideration, and where place(s) are available may be able to move you to another event of the same value (or less) & level**

**The event must be in these cases suitable for the participant. For example, someone with a place on a Beginner Navigation Course would not be offered the higher level above of Poor Weather Navigation Course as a replacement.

Vouchers

Vouchers are valid 1 year from the date of purchase. If you are unable to use it in that time we will look at this on a case by case basis for offering an extention.

Personal Kit

Prior to any event you attend, you will receive a kit list for the day. You will need to bring along & wear the appropriate kit for the event you are attending.

If we do not deem you to have the correct kit or that is it not suitable prior to the event, we reserve the right to refuse you to join the event with no refund. Please contact us if you are unsure if your kit is suitable or if you need advice.

Personal Fitness / Experience

We categorise our walks and include an estimated time we will be out walking to give you an idea of whether your fitness level is appropriate. Days can be longer or shorter than this, depending on the group. The given times are just estimations. You will need to be able to not only walk for that length of time in mountainous terrain but also carry the appropriate kit as discussed above.

In some cases, we may ask to speak to you or ask you to complete a questionnaire to get an insight into your fitness & experience ahead of the event. This is to ensure you are suitable for the event you wish to book. This may apply to some of our more challenging events as well as our navigation courses.

If you attend an event and are deemed not suitably fit or experienced enough will reserve the right to refuse you to join the event with no refund. Please contact us prior to booking if you are unsure about your fitness or experience level for any event, and we will happily discuss your suitability to your desired event.

Mountain Biking

It is the responsibility of the rider (or their parent/guardian/carer if aged under 18) to ensure that their bike, helmet and clothing is appropriate, well maintained and in a safe condition prior to participating in every session. Riders must wear a helmet which complies with current safety regulations when riding their bike. No suitable helmet on the day = No ride.

Weather

Mountain Weather in the UK can be very changeable. Even in summer this can mean we get all 4 seasons in 1 day. With your and our safety in mind, we will always endeavour to undertake the planned route but this may, on occasion, not be possible. We will, where possible, within the constraints of the weather, still run a walk or event nearby. In this instance, the event will be considered to have run and no refund will be issued. This will not be deemed a cancellation on our part but a move of venue due to safety. We will advertise our walks to the best of our ability and aim to undertake the walk / event advertised. However due to the nature of the mountain environment, these are not fixed and final locations.
